This policy explains how we handle personal information when you visit naosstudio.com, contact us, request a proposal or communicate with us about our services.

Information we collect

We collect information you provide, including your name, email address, company, website, service interests, event dates, location, budget, project details and correspondence. Our website also processes technical information needed to operate and protect it, such as IP addresses, browser and device information, access times and security logs.

Please avoid submitting sensitive personal information or information about other people unless necessary and you are authorised to provide it.

How we use personal information

We use personal information to:

Legal grounds

Where UK or EU data protection law applies, we rely on the relevant legal ground: steps taken at your request before entering into a contract, performance of a contract, legal obligations, consent or legitimate interests. Our legitimate interests include managing business communications, providing services to organisations and protecting our business and systems. We consider these interests alongside your rights. Where another applicable law requires consent or a different legal ground, that requirement applies.

Submitting an enquiry does not automatically subscribe you to marketing communications. Fields marked as required are needed to process your enquiry. Without necessary information, we may be unable to respond or prepare a suitable proposal. Other information is optional.

Who can access your information

Relevant information may be accessed by authorised team members and providers supporting website hosting, email, customer relationship management, workflow automation, IT support and security. We may disclose information to professional advisers, partners involved in an agreed project, or authorities where required by law. We do not sell personal information.

International processing

Our international team and service providers may process information outside your country of residence. International processing remains subject to applicable data protection requirements, including transfer safeguards where required. For information about processing locations and applicable safeguards, contact info@naosstudio.com.

How long we keep information

We retain enquiries and prospective client contact information for up to 24 months after the last substantive interaction. We then delete or irreversibly anonymise it unless continued retention is required for another lawful purpose. Information relating to an active project, contract, accounting obligation or legal claim may be retained longer where necessary or required by law. Technical information is retained only for as long as necessary for its operational and security purposes.

Deleted information may remain in restricted backups until those backups are overwritten. Backup copies are not used for ordinary business purposes. Applicable deletion requests are reapplied if a backup is restored.

Cookies

Please read our Cookie Policy for information about cookies and your choices. You can manage optional technologies through Cookie settings.

Your rights

Depending on applicable law, you may have the right to:

These rights are subject to legal conditions and exceptions. Withdrawing consent does not affect earlier lawful processing.

Send requests to info@naosstudio.com. We may request proportionate information to verify your identity or your representative’s authority. We do not routinely require identity documents. We respond within the period required by applicable law. We explain any permitted extension or refusal and do not discriminate against individuals for exercising their rights.

Complaints

Where applicable, individuals in the UK and EEA may complain to the UK Information Commissioner’s Office or their relevant EEA supervisory authority. Individuals protected by Saudi Arabia’s Personal Data Protection Law may exercise their applicable rights and complain to the Saudi Data and AI Authority. Individuals protected by UAE data protection law may exercise their applicable rights and contact the competent supervisory authority. Individuals protected by Qatar’s Personal Data Privacy Protection Law may exercise their applicable rights and use the National Cyber Security Agency’s complaints procedure. US residents may exercise rights available under applicable state law, including any applicable right to appeal a decision concerning a privacy request.

You can contact us first at info@naosstudio.com so that we can address your concern. This does not limit your right to contact a regulator.

Security

We use appropriate technical and organisational measures designed to protect personal information. No website, transmission or storage system can be guaranteed completely secure.

Changes to this policy

We may update this policy as our practices or legal requirements change. We publish the revised version and update the date above. Where required, we provide additional notice or request consent.
